Job Description

Distinguishing Features of the Class and Payroll Clerk Role

This clerical position involves assisting in the preparation and processing of one or more payrolls.  Attention to detail is an important factor of this position. The Payroll Clerk is responsible for processing payroll for all staff members, maintaining accurate records of hours worked, and ensuring compliance with district policies and relevant laws.  This position will also handle inquires from employees regarding paychecks, deductions and benefits, providing clear and helpful explanations. Direct supervision is received from an administrative supervisor in the department.  General direction in the form of ongoing training, may be received from a higher level clerical employee.  

Typical Work Activities and  Payroll Clerk Expectations

  • Collects and verifies timekeeping information for all employees;

  • Enter payroll data into the district’s financial systems;

  • Calculates wages, overtime and deductions accurately;

  • Prepares and distributes paychecks or direct deposit statements;

  • Resolves payroll discrepancies by collecting and analyzing information;

  • Maintains confidentiality of sensitive employee information;

  • Prepares reports for management and assists with audits;

  • Prepares and processes payroll time card data;

  • Enters contract salary data into payroll system;

  • Enters information on new hires into payroll system;

  • Enters payroll deduction information from prepared materials into payroll system;

  • Assists in preparing and filing government reports;

  • Answers inquiries concerning payroll matters;

  • Classifies constantly recurring receipts and expenditures and distributes costs according to a prescribed code;

  • Receives remittances by mail or in person, verifies amount, and posts to book of original entry;

  • Prepares, processes, and distributes accounts payables;

  • Sorts, indexes and files requisitions, vouchers, ledger cards and other materials;

  • Performs a variety of related duties as required.

Working knowledge of the methods of preparing and processing payroll data; working knowledge of Business Arithmetic and English;  ability to understand and carry out oral and written instructions; ability to make arithmetic computations rapidly and accurately; attention to detail.

Job Qualifications

(A) Graduation from high school or possession of a high school equivalency diploma, and six (6) months of clerical experience, which shall have included payroll input or processing; OR


(B) One year of clerical work experience, which shall have included payroll input or processing.

NOTE:  The essential functions of this job are determined by the department/jurisdiction where the job is located.

This position is a provisional civil service appointment and applicant must meet civil service requirements including residency in NYS. Successful candidates are required to take civil service exam when offered.
