Job Description

DISTINGUISHING FEATURES OF THE CLASSThis position involves responsibility for independently performing routine clerical work and/or assisting in performing more difficult and responsible clerical work with regard to the district textbook ordering, inventory and distribution.  Employees must exercise independent judgment in applying detailed instructions to assignments.  This position is responsible for utilizing computer equipment in the performance of daily work-related tasks.  Direct supervision is received from a higher-level clerical or administrative staff with detailed instructions given for new or difficult assignments. 

 

TYPICAL WORK ACTIVITIES:

 

  • Controls and coordinates all textbook activity within the district;
  • Maintains all records of textbook activity including textbook distribution to and transfer from all schools within the district;
  • Ensures all books are numbered and bar coded;
  • Responsible for textbook requisitions;
  • Accepts all textbook shipments for the district and report all shipment errors and/or discrepancies;
  • Responsible for all shipments of textbooks from the district (interim, expiring-adoption, out-of-adoption);
  • Completes bi-annual physical inventory of all current adoption textbooks and learning systems requisitioned and delivered to the district;
  • Receives and allocates textbooks/materials from all school locations;
  • Coordinates work orders for delivery of books;
  • Collaborates with district curriculum administrators and Director of Instructional Technology on online access;
  • Receives and fulfills textbook campus needs throughout the year;
  • Order, log, distribute, collect and return Large Print/Braille materials;
  • Order supplies needed for textbook management;
  • Coordinates with department administration on textbook orders;
  • Performs a variety of related tasks as required.

 

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:  Good knowledge of basic computer software and applications; working knowledge of office terminology, procedures and equipment; working knowledge of library catalog systems; ability to create and maintain accurate records; ability to lift and move boxes of books; ability to understand and follow oral and written instructions; ability to write legibly, ability to prioritize and meet deadlines, excellent organizational skills, physical condition commensurate with the demands of the position.

Job Qualifications

 

Graduation from high school or possession of a high school equivalency diploma.

SPECIAL REQUIREMENTS:

Must have a valid New York State Driver’s License at time of appointment and for the duration of employment in the position.

 

 

This position is a provisional civil service appointment and applicants must meet civil service requirements including residency in New York State. Successful candidates are required to take civil service exam when offered.
