Job Description

This position exists in the Schenectady City School District and includes the responsibility of
strong organizational support for the Office of Teaching and Learning and coordination of duties
related to projects between that office and the Business Office, Office of Accountability, and
Student Support Services. The primary goal of the Instructional Support Specialist is assisting
SCSD teachers with accessing many of the events, resources, and support that is offered to
them through the Office of Teaching and Learning. Supervision is received from the District
Director of Teaching and Learning and the Assistant Superintendent of Teaching and Learning.

TYPICAL WORK ACTIVITIES:

 

  • Office Management Duties
    ? Create and maintain directions to online assessment systems such as iReady and
    Edoctrina.
    ? Maintains and updates email and materials distribution lists as staff movement occurs.
    ? Serves as support to the Project Manager for organization of spaces, materials,
    communication with technology for staff development days and special events such as
    the New Teacher Seminars and professional development opportunities.
    ? Supports the Office with the organization of interviews, including scheduling interview
    teams.
    ? Supports teachers and the Office of Teaching and Learning regarding communication
    and support for professional development events, such as registration as well as the
    promotion of professional development events.
    ? Assists teachers and the Assistant Director for UPK/Early Literacy in reviewing and
    tracking professional development completion of internal training.
    ? Responsible for timely communication to new teachers and mentors regarding
    seminars, professional development, and logging hours related to the mentoring
    experience.
    ? Leads IPS-II’s in Office of Teaching and Learning in office schedule management.
    ? Organizes district committees including scheduling, attendance and updating
    membership.
    ? Keeps and maintains all relevant records and reports such as timesheets.
    ? Reviews, organizes, and edits documents and online folders needed by the Office of
    Teaching and Learning.
    ? Works with Project Manager, IPS, and District Textbook Clerk to support the ordering
    and inventorying of consumable materials (such as Fundations).
    ? Performs related work as required and other duties as assigned.

    Coordination of Instructional Support Systems

    ? Collects instructional/technical help email requests and routes requests to the correct
    Office of Teaching and Learning representative.
    ? Troubleshoots, problem solves and coordinates problems that arise in the instructional
    support systems across buildings; such as iReady, Edoctrina. and StaffTrac.
    ? Leads the development and process of online department assessments in Edoctrina.
    ? Assigns licenses to ensure access for teachers and students to instructional
    databases.
    ? Enters and maintains class rosters into various programs and databases.
    ? Assists in advanced communication planning for new certificated faculty.
    ? Provides updates to faculty on an ongoing basis throughout the year.
    ? Manages requests for technology and arranges technology delivery for in person staff
    development or assists with communicating webinar links or scheduling online events.
    ? Interfaces with learning technology to support the continuity of programming and
    Professional Development.
    Coordination of Mentor Program and New Teacher Seminars
    ? Coordinates dissemination of mentor information to certificated faculty.
    ? Manages mentor logs for new teachers and staff.
    ? Schedules monthly seminars, book locations, and facilitates communication to new
    certificated faculty.
    Coordination of Outside Agency Requests – Student Teachers, Observers and
    Volunteers
    ? Manages the communication and applications for student teacher and observer
    requests and regularly communicates with colleges and universities.
    ? Manages volunteer requests.

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:  Good knowledge of data systems and the problem solving process; ability to establish and maintain effective working relationships with others; ability to work flexible hours including some evenings; strong technology skills and the willingness to learn new technologies; strong oral and written communication skills; cultural sensitivity, professionalism, organizational skill, tact, and courtesy.

Job Qualifications

 

 

  1.             Graduation from a regionally accredited or New York State registered college or   university with a master’s degree; OR
  1.             Graduation from a regionally accredited or New York State registered college or  university with a bachelor’s degree and two (2) years              of experience in the areas of technology or administrative support or;
  1.             Graduation from a regionally accredited or New York State registered college or university with an associate’s degree and four (4)                      years of experience as defined by the limits of (B) above or;
  1.             An equivalent combination of training and experience as defined by the limits of (A), (B) and (C) above.

Candidates must meet civil service requirements for appointment. Candidates must currently hold this title or be reachable on the civil service list when available. If a list is not available, this will be a provisional appointment and the successful candidate must take the appropriate civil service examination and be reachable.
